Lessons, tests, assignments and certificates live in one place. For an online school, an LMS replaces scattered files, chats and spreadsheets with one system that runs the teaching and keeps the student records.

Key takeaways

An LMS stores lessons, opens access and records how far each student has gone.

Its core modules are courses, tests, assignments, progress tracking and certificates.

LMSs built for online schools also take payments and run email campaigns.

A video host, a website or a webinar room covers one part of the job.

Move to an LMS once manual access, grading and progress checks slow you down.

What does LMS stand for?

LMS stands for learning management system: a platform where courses are built, delivered and tracked. The same idea goes by other names. Universities often say virtual learning environment, and older texts call it a distance learning system. In everyday use all three mean a place where students study online and teachers see their results. A short definition is also in the Softbook glossary of LMS terms.

An LMS has two sides. The teacher or school owner works in an admin area: they build lessons, set the order, check homework and read the reports. The student sees a personal account with their courses, the next lesson, their grades and certificates. Everything the student does in that account is saved, so the school does not have to collect it by hand.

What does an LMS do?

An LMS does five core jobs: it holds course content, controls who can open it, checks knowledge, records progress and confirms completion. Many platforms add communication and sales on top. The table shows what each module does and why an online school needs it.

Module

What it does

Why a school needs it

Course builder

Organizes lessons into modules and holds video, text, audio, files and PDFs

One structured course instead of links spread across chats and drives

Access and enrollment

Adds students to courses and groups, sets how long access lasts

Each student sees only what they bought or were assigned

Schedule

Opens lessons in order, on fixed dates or after a set interval

Students move through the program at the pace you planned

Tests and quizzes

Checks knowledge with scored questions, a pass mark and retakes

You see who understood the topic before they move on

Assignments

Collects homework, lets the teacher grade it and leave comments

Practice and feedback stay attached to the lesson

Progress and analytics

Shows completed lessons, drop-off points and inactive students

You find weak lessons and students who need a nudge

Certificates

Issues a document when a student finishes the course

Students receive a completion document they can show to others

Communication

Comments, announcements and chats inside the course

Questions are answered where the learning happens

Sales (in LMSs for online schools)

Product pages, prices, payments and automatic access after payment

The course and the business around it run from one account

Not every LMS has every module. Platforms made for universities and corporate training often skip payments, while platforms for online schools usually include them.

Who uses an LMS?

Anyone who teaches more than a handful of people online uses an LMS, because tracking access and progress by hand stops working as a group grows. The main users fall into four groups.

Online schools and course creators sell courses to the public. For them an LMS is also a storefront: it takes the payment and opens the course.

Coaches and tutors run group programs with lessons between live sessions and need to see who did the work.

Companies train employees and customers: onboarding, product training, compliance courses.

Universities and schools run distance and blended learning next to in-person classes.

The modules are the same for all four groups. What changes is the weight: a company cares most about reports for managers, and an online school cares about sales and keeping students to the end of the course.

How is an LMS different from a video host, a website or a webinar room?

An LMS connects content, access and results, while a video host, a website or a webinar room each covers one piece of that chain. Many schools start with these tools and move to an LMS when the gaps start costing time.

Approach

What it does well

What it leaves to you

Video hosting

Stores and plays video reliably

Lesson order, tests, homework, progress, access after payment

Your own website

Full control over design and pages

Student accounts, access rules, payments and updates, often through plugins

Webinar room

Live classes with chat and screen sharing

Recordings, assignments between sessions, a record of who attended and finished

Shared drive and chats

Fast start at no cost for a pilot group

Everything beyond file sharing, done by hand

LMS

Lessons, access, tests, progress and certificates in one system

You work within the features the platform offers

The approaches can work together. A school can keep its main website for marketing and run the course itself on an LMS, or teach live sessions and store the recordings as lessons. For a closer look at these options from the course author’s side, see where to host an online course.

What types of LMS are there?

LMSs differ by who runs the software and by the audience they are built for. These two splits explain most of the differences you will see when you compare platforms.

By who runs it:

Cloud LMS (subscription). The provider hosts and updates the platform, and you use the tools it offers. Check what the subscription includes, the limits and how you can export your data.

Self-hosted LMS (often open source). You install the software on your own server and can change it. Hosting, setup, updates and support stay with you or your developer, so open source does not mean zero running costs.

By audience:

Academic LMS for universities and schools, built around classes, semesters and grades.

Corporate LMS for employee training, built around mandatory courses and manager reports.

LMS for online schools and creators, built around selling courses, with payments, sales pages and email campaigns next to the learning tools.

When does an online school need an LMS?

An online school needs an LMS when manual work around the course grows faster than the number of students. A few signs show that moment has come:

you open access by hand after every payment;

homework arrives in chats and email, and some of it gets lost;

you can’t say which lesson most students stop at;

a new group means copying links and files all over again;

students ask for a certificate, and you make each one in a design tool.

The move itself takes six steps:

List what you teach today: courses, lessons, materials, tests and live sessions.

Write down the jobs the platform must do, from access after payment to certificates.

Compare platforms against that list and test the shortlist on a free trial.

Rebuild one course first: modules, lessons, tests and homework.

Set access, the lesson schedule and payments, then go through the course as a student.

Move current students in groups and announce where the course now lives.

If you are building the course from scratch, the guide on how to create an online course covers structure, lesson types and knowledge checks. The criteria for step 3 are collected in the checklist on how to choose an LMS platform.

How does an LMS work in Softbook?

Softbook is a platform for online schools: courses, sales, CRM, email and Telegram campaigns, and a website builder in one place. You can add unlimited students, and the platform takes no commission on your sales. As an LMS platform for online schools, it covers every module from the table above in one account, without code. Here is how the core LMS jobs look in practice.

Build the course. Create modules and lessons. A lesson can hold video, text, audio, images, files and PDFs with page-by-page viewing. AI can draft the course structure and lessons from your topic, audience and goals, and you refine them in the editor. More in the course builder.

Add tests and homework. Tests have eight question types, from single choice to matching and sorting, with a pass mark, retakes and a time limit. Homework accepts voice answers, and the teacher grades it and replies.

Set access and timing. Import students from a CSV file, add them to groups and turn on sequential lessons, fixed dates or a drip schedule with intervals in minutes, hours or days. Choose how long access lasts.

Sell and open access. Sell a single course, a bundle, a subscription or a free product. Connect a payment system, and access with login details opens automatically after payment.

Issue certificates within the platform. Build a certificate with the student’s name, the course, a serial number and a QR code. A check by serial number or QR code shows that the certificate was issued through Softbook on behalf of the school named on it.

Watch progress. Analytics shows which lessons students complete, where they stop and who hasn’t logged in for a while. Students can also study in the Softbook LMS app for iPhone and Android.

One limitation to plan for: recordings of live sessions held through the video conferencing integration are not added to the course automatically, so you upload each recording as a lesson yourself. If you get stuck, Softbook Care answers around the clock.

Related articles

How to Choose an LMS Platform

Where to Host an Online Course

How to Create an Online Course

Run your courses, tests and certificates from one LMS account. Try Softbook free for 30 days, no card required.

{"@context":"https://schema.org","@type":"FAQPage","mainEntity":[{"@type":"Question","name":"What is an LMS used for?","acceptedAnswer":{"@type":"Answer","text":"An LMS is used to deliver online courses and keep track of learning.
