It names the recipient, the program, the issuer and the date, and carries a serial number or QR code so others can check it. A good template keeps these fields in fixed places and fills in each person’s details automatically.

Key takeaways

A certificate of completion confirms that someone finished a program, not that they hold a degree.

Every certificate needs the recipient, the program, the issuer, the date and a serial number.

Write the wording once and fill in names from a list instead of editing files by hand.

A serial number and a QR code let employers check the certificate without contacting you.

What is a certificate of completion?

A certificate of completion is a document an organizer gives to people who finished a course, a webinar series, a workshop or an internal training. It tells a third party, such as an employer or a client, who completed what, when and with whom.

It is easy to confuse with two other documents. A professional certification usually follows an exam set by an industry body and may need renewal. An academic degree comes from a university or college. A certificate of completion is neither: it records that the person went through your program. Its weight comes from your name as the issuer and from how easy it is to check.

People who search for a certificate of completion template are usually on the organizer’s side. They have a group about to finish and need one layout that works for every participant.

What should a certificate of completion include?

A certificate of completion should answer four questions at a glance: who received it, for what, from whom and when. Add a serial number on top of that, and anyone who sees the certificate can check it.

Field

Why it matters

Example

Recipient’s full name

Shows who the certificate belongs to

Maria Lopez

Program title

Says what exactly was completed

Project Management Basics

Format and length

Gives context to an employer

Online course, 12 hours

Completion date

Places the training in time

October 15, 2026

Issuing organization

Shows who stands behind the certificate

Northside Training Center

Signature and role

Names a person responsible for the program

Anna Reed, Program Director

Serial number

Makes each certificate unique and searchable

NTC-2026-00418

QR code or check link

Opens the record in one scan

Leads to the check page

Optional fields depend on the program: a grade or final score, the list of modules, the instructor’s name, the city for in-person events. Keep the layout readable. If the recipient’s name and the program title don’t stand out at first glance, the certificate has too many fields.

Certificate of completion template: wording you can copy

The text of a certificate rarely changes from person to person. Only the name, the date and sometimes the program title do. Here are three wording patterns you can paste into any layout; the parts in square brackets are the fields you fill in for each person.

For a course:
> This certifies that [Full name] has successfully completed the online course [Course title] ([number] hours), offered by [Organization] on [Date].

For a webinar or an event:
> [Organization] confirms that [Full name] attended [Event title] on [Date].

For internal or corporate training:
> [Full name] completed the [Training title] program delivered by [Organization] from [Start date] to [End date].

Choose "completed" when there was a final task or test, and "attended" when the person only had to be present. That difference matters to anyone who reads the certificate later. If your course ends with assignments or tests, the guide on how to create an online course covers how to plan them.

How do you make and issue certificates of completion?

You make a certificate of completion in six steps: decide who qualifies, write the wording, build one template, prepare the list, issue and send, then let people check.

Set the completion rule. Decide what counts as finished: all lessons done, a passed test or attendance at a live session.

Write the wording. Pick one of the patterns above and adjust it to your program.

Build one template. Place the fixed text, your logo and the signature, and mark the fields that change for each person: name, program, date.

Prepare the list. Export the participants to a spreadsheet with one column per field plus an email column.

Issue and send. Generate a named certificate for each row and email it, or send each person a link to collect it.

Make it checkable. Give each certificate a serial number and a QR code that opens a public check page.

For a group of five, a design file and manual edits are enough. From a few dozen people on, editing names by hand becomes the slow part and the source of typos. Filling fields from a list solves both.

A certificate also works as a motivation tool inside the course: students who know a certificate waits at the end have one more reason to finish. Badges, points and progress bars add reasons along the way, as described in gamification in learning.

What mistakes make a certificate of completion less useful?

Most problems with certificates come from details that are easy to fix before the first issue:

The name is spelled differently from the person’s documents. Take names from the registration form, not from chat messages.

The program title is vague, such as "Course 2". An employer should understand the subject without asking.

There is no date or no issuer, so the certificate can’t be placed in time or traced back to you.

Every certificate is the same file with no number, which makes copies impossible to tell apart.

The wording says "completed" for people who only attended, or the other way round.

How can someone check that you issued a certificate?

Someone can check a certificate when it has a serial number and a public page that looks it up. The person scans the QR code or enters the number and sees the record without contacting you or creating an account. A PDF without a number can only be taken on trust, so the check is what turns a picture into a record.

Before choosing a tool, ask what the check page shows and whether you can revoke a certificate issued by mistake.

How to issue certificates of completion with Softbook Certify

Softbook Certify is a service for creating named certificates, issuing them by email and letting anyone check them online. It works without the Softbook LMS, for a course, webinar or conference on any platform. Here is how this certificate maker with QR verification covers the steps above.

Design the template. In the visual editor you place the background, text, logos, images, shapes and a QR code. Mark the variable fields: name, course, date, hours or any other column from your spreadsheet. The serial number is added automatically.

Issue the certificates. Issue a certificate to one person, upload a CSV or TXT list with emails, send personal links that people open to collect their certificate, or connect your own system through the API.

Check before you send. Before launch, the service shows every recipient and how many certificates will be issued. Errors in the file, such as wrong column names or missing fields, show up before anything is charged.

Let people check. Each certificate has a serial number and a QR code. A check by serial number or QR code on verify.softbook.app shows that the certificate was issued through Softbook on behalf of the organization named on it and has not been revoked. If a certificate went out by mistake, you can revoke it.

Help graduates share it. The certificate page has an "Add to LinkedIn" button that fills in the certificate name, the organization, the date, the serial number and the check link.

If your course already runs on Softbook, you don’t need Certify for it: certificates of completion are issued within the platform when a student finishes the course on the online course platform.

You pay only for the certificates you issue, with no subscription. A test certificate in your own name from the template preview is free, so you see the result before you buy. Two things to know: there is no gallery of ready-made designs, so you build your template in the editor, and there are no ready-made integrations with webinar or course platforms, so you export the participant list as a CSV file and upload it.

Related articles

How to Create an Online Course

Gamification in Learning

How to Create an Online School From Scratch

Design one template and send every participant a certificate they can check. Pay only for the certificates you issue, no subscription.

{"@context":"https://schema.org","@type":"FAQPage","mainEntity":[{"@type":"Question","name":"Does a certificate of completion have legal weight?","acceptedAnswer":{"@type":"Answer","text":"A certificate of completion confirms that a person finished your program.
